How do I know if you have received some of my post?

Quick Answer: You’ll receive an email and push notification every time new mail is processed. You can also check the Mail tab in the left-hand sidebar of your Customer Portal at any time.



How You’re Notified


All incoming mail is processed on the same business day it arrives (excluding weekends and bank holidays). When your mail is ready, you’ll receive:


  • An email alert
  • A push notification via the Hoxton Mix app
  • The item appears under the Mail tab in your Customer Portal



What You Can See in the Portal


With the Virtual Office London plan, every letter sent to 66 Paul Street, London EC2A 4NA is:


  • Scanned, digitised, and converted into searchable PDFs
  • Processed by HaiRo™ (our AI mail system) for automatic categorisation
  • Accessible via the Mail tab in your portal, the app, and email
  • Stored securely for 30 days before confidential shredding



If You’re Waiting for Mail


If no item appears under the Mail tab and you haven’t received a notification, the mail has not yet arrived at our office. Check with the sender that they used the correct company name or director name shown on your account — post addressed differently may be returned.

Mail Forwarding Add-on


With the UK Mail Forwarding add-on (£170/year or £17/month):


  • Mail is scanned and digitised within one business day
  • Physical copies are forwarded to your chosen UK address
  • You can also collect mail in person (Mon–Fri, 9am–6pm)


⚠️ Important: Mail Forwarding is not included in the base Virtual Office London plan — it is a separate add-on.

Can I search old mail?

Yes. HaiRo™ indexes all correspondence for keyword search.


What if my mail hasn’t arrived?

If nothing shows in your portal, the sender has not yet delivered it to us. Ask them to confirm the address and name used.
